Wedding Checklist

At RingUs we believe that Planning a wedding can be “loads of fun”. We have designed this checklist to get you started on your journey to happily ever after.

The following planning checklist itemizes everything you need to do or consider when planning and tells you the best time frame in which to accomplish each activity. This checklist assumes you have 12 months to plan.

If your wedding is less than 12 months, just start at the beginning and try to catch up as quickly as you can!

The checklist has also been created in a way that you can personalize (add or/and remove activities) as you go. Check the box at the side of each item to check off the activities as you accomplish them.

After the Wedding

12 Months Prior

You are engaged! Take some time out to enjoy the feeling

Select a wedding date

Determine the wedding style you would like (color Scheme, location, theme, time and ambience)

Sit down and have your first of many guest list (don’t forget to ask your parents for theirs) this guest list should include (the must be invited, should be invited and would be nice to invite) and scale down from there.

Figure out your target budget (RingUs can help you with this. Look through our budget checklist)

Narrow your venue search (Ceremony and reception) to your preferred location.

11 Months Prior

Develop a record keeping system for payments for all vendors

Create a hashtag for your special day. A hashtag will help you document the engagement and actual wedding it will also engage your friends, family, and guests who are unable to attend your wedding.

If you would like a wedding crest, research and book a graphics designer to design one for you.

Create a basic website to announce your wedding, send out information to your guests and collect RSVPs.

Select and book your ceremony and reception venue

Choose your Wedding Party.

Research and book your preferred Photographer. (If you are using the RingUs Application, you will not need to set-up meetings as the RingUs team will run all of that on your behalf) If you are not using the App please set-up meetings before you book the vendors and this applies to all vendor booking.

10 Months Prior

Start shopping for wedding attire. Make appointments at bridal and clothing shops as needed.

Once you’ve booked your wedding photographer, shoot pre- wedding photos (especially if you’re using them for save the dates)

Design/ order your Save The Date.

Finalize your guest list (Our Guest Manager App can help you with this)

9 Months Prior

Check to see your passport is up to date for travel, if not order/renew your passport, order Visa and all requirement for your honeymoon (if needed) or marriage license.

Research what kind of foods you want to have at your reception, and begin to select and book caterers.

Once you have finalized your guest list send out Save The Date.

Select outfit color and design for Wedding Party.

Decide if you want to get “Aso-ebi” (Uniformed outfit for your guests). If so, start shopping for fabric and create a spreadsheet (you can input this column on our guest management spreadsheet to track guests who are interested)

If you can afford a Day of Coordinator, hire one. (We can help you order the best there is in the event industry Using our App!)

8 Months Prior

If you want a bridal showers or parties, share these ideas with your friends and ask if they’ll plan it for you.

Research and book your wedding officiant.

Get wedding inspiration online or from RingUs blog for your cake ideas, decoration ideas, centerpieces ideas, souvenir ideas and so on.

Decide what kind of music you want to have. Do you need a DJ? A band?

Research hairstyles and bridal make up and narrow down to your preferred options.

Decide if you would like to have a Civil Ceremony as well and start researching the process.

Just because you need a break after all of these, start researching honeymoon destination and narrow your search based on your budget.

7 Months Prior

Research and book your decorator

Research and book your florist for your bouquet, boutonnieres, bridesmaid bouquets and flower girls

Research and book your cake baker. If you can, schedule cake tastings too.

Research and book your caterer.

If you have decided to have comfort food, canapes, small chops, grills and dessert for your wedding, now is the time to start booking.

Research and book your drinks provider.

Once you have made a decision the music entertainment DJ/Live Band or both, research and book.

6 Months Prior

Decide if you will be having cocktails and/or mocktails at your wedding reception. Once you have decided, research and book.

Research and book a videographer.

Set up a meeting with your officiant to discuss the ceremony and start marital counseling (if relevant).

Set up your wedding registry

Schedule dress fitting and delivery dates for yourself and wedding party

Order your wedding invitation (and every other stationery that goes with the invitatons)

If you would like Ambience lighting and special effect for your wedding, research and book vendors

Start to plan any extra events associated with the wedding (after party, brunch, welcome party, rehearsal dinner)

5 Months Prior

Start shopping for your spouse’s wedding gift

Make wedding night reservation as needed

Reserve hotel blocks for your wedding party

Book your honeymoon destination.

Schedule your hair and make-up trials, if you’re hiring a stylist (also make sure you coordinate with your wedding parties or friends)

Check out wedding rings and decide what you want

Research and get souvenirs for your wedding party and guests

Finalize your guest list

4 Months Prior

Set date, time and location for the rehearsal dinner

Address invitation cards or hire a calligrapher.

Shop for wedding rings. You can have them engraved if needed

Check blood test and marriage license requirement.

Research and book ushering service

Research and book event security personnel.

Book wedding transportation (for yourself, wedding party and others if needed)

Make sure your passport is up to date if you’re leaving the country for your honeymoon.

Book anything (Service) you might need to still book Once you have decided on having a civil ceremony start the process now.

3 Months Prior

Mail your wedding invitations for out of town guests include accommodation choices and a map to assist guests in finding the ceremony and reception site.

Book makeup artist

Book hairstylist

Think about what ceremony extras you might need (a chuppah, aisle runners, flowers, candles) and buy or rent them or inform your decorator about including ceremony decoration in their service.

Decide on and buy wedding accessories for self and wedding party

Schedule another dress fitting.

6 Weeks Prior

Finalize your wedding vows.

Break in your wedding shoes.

Finalize your menu, beverage and alcohol order with your service providers.

Finalize wedding ceremony with officiant.

Make sure you’re updating your gift registry and spreadsheets as gifts arrive, and send thank you notes now if you can

After the Wedding

Send out your thank you notes (to people who helped with the wedding and for gifts)

Make sure your vendors have been paid in full

Follow-up and make sure you know when youl get your wedding photos

Ensure that rentals, clothing, and accessories have been returned (as needed)

Toast your marriage! You did it! Now happily ever after begins for real.

2 Weeks Prior

Check with guests who haven’t RSVPed

If you are making arrangement for vendors and drivers meal, give your caterer a final head count.

Send out setup time, time line and location to vendors (DOC would work with you on this)

Confirm with photographer special pictures and moments you want taken and timelines.

Send a transportation schedule to transport providers

Make sure any clothing you want cleaned or pressed is taken care of

Ensure that there is a plan for wedding venue set up and breakdown

Confirm all honeymoon reservation and accomodations.

Pack a suite case for your honeymoon.

1 Week Prior

Pack an overnight bag, and include: your toothbrush, birth , something to sleep in, an outfit for the next day, honeymoon luggage, and your passport

Get your face beat (discuss this with your makeup artist!)

Make sure a copy of your honeymoon plans is left with family and friends

Put your final payments in labeled envelopes and give this to your DOC.

Get your wedding day put together (aspirin, make-up, safety pins, mints, snacks, sanitary towel etc

Pick up your dress (if it wasn’t delivered to you)

Try on your entire wedding ensemble

Hand over all of your planning docs (including a copy of the vendor delivery schedule, set up time, and contact details) to your DOC and take a step back to enjoy this thang!!!

1 Day Prior

Get your nails and hair done

If you are leaving for the ceremony from a hotel... Check-in

Rehearse your ceremony with your officiant and wedding party

Don’t forget your rehearsal dinner

Confirm your honeymoon transportation, airport drop-off, etc

Set your alarm (and a back-up)

Print out your vows if it is personalized (or memorize them)

Drop off your favors, menus, table plans, and place cards with your DOC

Wedding Day

Make sure you pause and appreciate your family, friends, and each other

Take a few minutes every so often to breathe and focus

Smile be in the moment

GET MARRIED!!!

After the Wedding

Send out your thank you notes (to people who helped with the wedding and for gifts)

Make sure your vendors have been paid in full

Follow-up and make sure you know when youl get your wedding photos

Ensure that rentals, clothing, and accessories have been returned (as needed)
